THE JOB:

The Executive Assistants are responsible for providing technical and
administrative support to the Deputy Managing Directors - Corporate
Support and National Training and Programmes to ensure that administrative/
operational functions of the Offices are efficiently and effectively executed.


REQUIRED SKILLS/COMPETENCIES:

• Provides administrative and secretarial support which includes screening,
receiving, responding and directing telephone calls, enquiries and correspondences.

• Administers the Budget of the Deputy Managing Director’s Office.

• Receives and hosts visitors to the Deputy Managing Director.

• Coordinates all meetings and travel arrangements/itinerary.

• Monitors requests and directives issued by the Deputy Managing
Director for follow-up.

• Follow-up on progress of executive decisions and recommend the
necessary interventions.

• Monitors messages and requests received for the Deputy Managing
Director, develops Action Plans and follows-up to ensure execution of
appropriate action.

• Researches, prioritizes and follows up on incoming issues and concerns
addressed to the Deputy Managing Director; including those of a
sensitive or confidential nature and determines the appropriate course
of action, referral or response.

• Provides support for the research and collation of information for
presentations to be made by the Deputy Managing Director.

• Designs, implements, and maintains operational and administrative
procedures relating to the Deputy Managing Director’s Office.

• Manages a variety of special Projects for the Deputy Managing Director
same of which may have Department-wide impact.

• Acts as liaison for smooth communication between the Deputy Managing
Director’s office and internal Units, demonstrating leadership to maintain
credibility trust and support with the Executive Management Team
and staff.

• Monitors and maintains all leave and flexi-time rosters for the Division.

• Prepares the annual budget for submission to the Deputy Managing
Directors Office.
Qualifications:
QUALIFICATIONS & EXPERIENCE:

• NVQ-J Level 5 Certification or bachelor’s degree in disciplines such as:
Business/Management Studies, Public Administration, Organisational
Development.

• At least three (3) years relevant work experience in a comparable
position in relevant industries such as: higher education, training or a
financial institution.
